The next QB Merchants Committee meetings is scheduled for Tuesday Oct. 1 at 5:30pm. Location is the boardroom at MLA Adam Walkers office. Every business owner in QB is welcome to attend whether you are a chamber member or not.

• Qualicum Beach Chamber of Commerce to support with advertising and promotion.

• Parksville Qualicum beach Tourism to be given information.

Discussion:

• Volunteer organization for crosswalk control to ensure the safe crossing of participants

• Look into a Bulk buy of candy to help merchants save on the cost of purchasing candy.

• Senior Citizens to participate in handing out candy. Jared to check if Berwick Residents may be interested in doing this.

MOONLIGHT MADNESS

• Qualicum Beach Chamber of Commerce to support with advertising and promotion. Send details to Parksville Qualicum Beach Tourism.

• Each business should also advertise and promote themselves and any specials they have.

• Patrick – What’s Cooking to meet with events committee chair (Stephanie) and merchants committee chair (Launie), Jared -QBCC CEO to help facilitate and coordinate Moonlight Madness to ensure that main points are not overlooked.

Items that have been done:

• Event Application was submitted to Town of Qualicum Beach in July 2024, requesting to close Second Avenue from Memoria Ave to Jones Street, as well as Primrose Street from First Avenue to Second Avenue – in front of Town Hall.

• Event Application was submitted to the Town of Qualicum Beach in July 2024, requesting to close Veterans Way for the second annual night market to add to Moonlight Madness.

• Request for all Town Public Washrooms to remain open until 9:00 PM

• Request for event signage for traffic calming

• Traffic Control at Crosswalks on Memorial to ensure safe crossing of attendees

• Berwick Shuttle to transport attendees from Fern and Cedar Brewing to the Civic Centre parking lot. Note: Should also explore using the KSS/Gardens Parking Lot as a second large lot. The shuttle could run from the roundabout at the path by the Gardens pathway and the Civic Centre as drop off/pick up locations.

• Food Trucks have been tentatively booked.

• Salvation Army Christmas Kettles – email sent

Discussion:

• Set a deadline date for all Town shops to have their storefront decorated – suggested November 17th, 2024

• Town of Qualicum Beach to have Christmas Lights in place for Moonlight Madness.

• How do we promote attendees to go down Beach Road and Primrose Street? Suggestions to make sure stores are decorated have food trucks located in these areas, and have a “Letter to Santa” Mailboxes located in these areas.

• Advertising to promote parking shuttle.

• Map/QR Code to show all participating businesses that are open for Moonlight Madness, location of Letter to Santa Mailboxes, musicians, restaurants, washroom facilities, and points of interest. A quick reference guide!

• Entandem (formerly Socan/Resound) Fees to legally and ethically have live music – this is listed as required in the Town of Qualicum Beach event application/rental agreement.

• QB Fire Rescue to have a firetruck decorated and located at the corner of Primrose and Second Avenue (Town Hall)

• RCMP invited to attend dressed in Red Serge

• Santa

Items to consider:

• Confirm with the Town of Qualicum Beach the Requirements for Food Trucks, as I have been informed that the policy for food trucks has changed in 2024.

• Confirm generator sizes with food trucks – the town of Qualicum Beach requires all generators of 5500kw to have an electrical permit and electrician on site for liability reasons.

• Does the Town require event liability insurance?

• Island Health Event Application with a list of Food Trucks with permits– New April 2024 must be submitted 14 days before the event

• Garbage and seating in food truck locations?
